Administrative Assistant | Institute for Global Infectious Disease Research in New York, NY
The new institute builds on Rockefeller’s long legacy of infectious-disease research in supporting intensive research on pathogens, including proven troublemakers as well as likely new suspects. Among other initiatives, it will support several studies launched in 2020 aimed at better understanding the biology of SARS-CoV-2 and developing interventions to prevent and treat infections, including work by Rockefeller scientists Michel Nussenzweig, Paul Bieniasz, Theodora Hatziioannou, and Charles Rice. Together with Pamela Björkman at the California Institute of Technology, this group characterized the immune response to natural infection and to vaccines and boosters, tracking the evolution of both the virus and our antibodies.

Reporting to the Administrative Director, the Administrative Assistant supports various activities to implement, organize, and manage the new Institute's operations and programs. The education and outreach responsibilities include but are not limited to:
organizing and spearheading the inaugural symposium, including coordination of all logistics such as date, venue, format, speakers, collaborators, publicity, etc.; organizing and launching webinars, seminars, multidisciplinary conferences, and an annual/biennial retreat for Institute scientists; creating and maintaining an informative website to track research progress and publicize discoveries made by Stavros Niarchos Foundation (SNF) Institute researchers, implementing plans for international communication and public education;
developing educational programs and training opportunities for graduate students, postdocs, and Clinical Scholars to work on infectious disease-related research, partnering with RockEDU Science Outreach on public program opportunities for pre-college students and science enthusiasts.
Research and Administration duties include establishing and implementing the SNF Institute grants program; supporting application and review process, reporting, etc.; sourcing and acquiring emerging technologies for shared use; creating and managing financial reports; supporting governance structure; collaborating with the Office of the General Counsel (OGC) for contracting (subawards, etc.); facilitating University procedures and requests with finance, procurement, service requests, human resources, and access/use of University resources, e.g., conference rooms and food service; supporting the development of a branding and marketing strategy; executing follow-up activities;
additional duties and special projects as assigned.
Bachelor's degree is required; advanced degree preferred. A minimum of five years of related experience is required.
Prior experience as an advocate for vulnerable populations and a basic understanding of scientific research are preferred. Outstanding writing and speaking skills.
Must have grant compliance and reporting skills and the ability to multi-task and work with diverse personalities and styles. Demonstrates taking the initiative and is responsive to feedback. Must have creative problem-solving skills, and be enthusiastic, dynamic, and flexible.
The ideal candidate is organized and collaborative. Must be proficient in computer platforms, including MS Office Suite. Strong technical proficiency and quantitative skills are required. Must have the discretion to handle confidential information. Strong interpersonal, written, and oral communication skills and attention to detail are essential.
