Department Description

The goal of Information Technology (IT) is to provide information resources and services to accelerate and support scientific research at The Rockefeller University. Our department is responsible for cyberinfrastructure, high-performance computing, bioinformatics, decision support, data analytics, cybersecurity, and the scientific and administrative software environment at the university. The department is in the midst of a major transition in culture, including the adoption of DevOps and Agile practices, the facilitation of self-service approaches, as well as a "cloud first" deployment philosophy.

Detailed Description

Reporting to the Chief Information Officer (CIO), the Senior Financial and Administrative Specialists will provide financial and administrative support to the Information Technology (IT) Department, the Bioinformatics Resource Center (BRC), the High-Performance Computing Resource Center (HPCRC), and the Markus Library; provide direct guidance and support to the CIO and the Office of the CIO (OCIO); and maintain discretion, professionalism, and independent judgment while dealing with highly confidential information. Will be responsible for generating a high-level and detailed dashboard in Tableau, Excel, and other custom systems, and use such tools to provide in-depth analysis of service lines and OCIO budget lines, staff performance metrics, and financial impact of projects as needed. An extensive office knowledge to support the administrative team for all office functions, including, but not limited to purchasing, meeting minutes, scheduling, coordinating office requests, time-off policies, and billing processes. Senior Financial and Administrative Specialist is expected to have prior experience training new hires and be able to onboard staff on relevant processes/systems quickly and effectively. A knowledge of for-profit and non-profit billing practices is a plus to help the department navigate its internal billing system and services for partnering institutions. Experience using Oracle's E-Business Suite is strongly desired.

Job Requirements

Bachelor's degree Required with an educational emphasis in Business Administration, Business Management, or related fields. A minimum of three years of relevant work experience directly supporting C-suite executives in an academic institution and technology organization required. Must have a strong background in compliance initiatives involving NY State and Federal regulations set forth by agencies such as the NYDOT and FMCSA. Must have prior C-suite, HR, operations, and budget experience with a non-profit institution. Must be able to track record of success in developing large-scale budgets meeting the needs of multiple groups and generating effective budget proposals under tight deadlines. Must be able to lead and collaborate with the administrative team to ensure streamlined and efficient operations and have prior experience organizing inclusive group events/meetings for 75+ people and forward-looking planning activities. Collaborative experience in systems testing and evaluation is required. Must have a proven track record of success in recruiting for open positions within local government and academic organizations and developing onboarding programs for new hires. Strong proficiency with Microsoft Office Suite for collaborative and reporting work necessary. Expertise in Tableau, Tableau Prep, and Excel is a must. Demonstrated experience with preparing budgets, tracking financial metrics, and dashboard development and reporting required. Must be well versed in quality data collection to ensure adequacy, accuracy, and legitimacy of data across multiple systems.Excellent interpersonal skills, initiative, attention to detail, self-motivation, and the ability to work autonomously, required. Strong written and Oral communication skills and problem-solving essential. Must be sensitive to confidential matters and have prior experience communicating and managing staff compliance with department and organization-wide policies including, but not limited to PTO and disability leaves, Workers' Compensation, employee separations, workplace safety, and drug testing procedures, FMLA and COBRA. Ability and willingness to learn custom software necessary. Strong track record in a collaborative setting working on financial and administrative matters required.
